We are very excited to present the new feature of sharing orders to you! In the world of 24Slides, our Share feature is your key to tailoring who gets access to your orders and what they can do with them! Dive into the nitty-gritty details about permissions, functionality, and how it all works in the sections below.
Feature overview
Why did we introduce the Share feature? Simple – it's all thanks to our customers! They told us they needed an easier way to share orders with their teams, and the Share feature was born. It's available for everyone, no matter your role.
With Share, you can bring people together to access the same data effortlessly. At 24slides, we've made the Share functionality to improve the collaboration between teams. It's not just about sharing; it's about making sure your files are secure and accessible from any device, making your workflows smoother than ever.
During the file-sharing process, we offer users different levels of access. Some users can edit orders, while others can only leave comments. Our Share feature provides two distinct user permissions or access levels: "can edit" and "can comment".
Let the collaboration begin!
Share modal
To get started with sharing, open the Share modal on any Order file.
To open the Share modal on the Order file:
Open the Order file.
Click Share in the toolbar.
From the Share modal, you can access the following settings:
Invite field and permissions: Set invitation permissions and enter email addresses of people you want to share the order with. Maximum number of emails to be sent at once is 30.
Tabs with collaborators: Switch between members, invited, and admins.
List of existing members: See a list of invited people and their permissions. Other members can't edit your or the owner's permission level.
Select several collaborators simultaneously: Select multiple collaborators to perform the same action. You can remove them all at once or set the same permission level for all of them.
In the Invited tab, you will see invited collaborators who have not accepted the invitation yet. You have the right to change their permission level, resend the invitation, or remove them by clicking on Select and choosing an action.
In the Admins tab, you will see the list of admins who have access to this order automatically.
Permission levels
The permission setting determines how the audience can interact with the order. For every person or group you share with, you can assign a different level of access.
As an illustration, this is beneficial if you desire only a select few individuals to complete and approve your order, while all others simply comment on it by adding annotations.
Whenever you invite someone to a page, or click on Share, you'll see right-hand dropdown menus next to people or groups that let you select their level of access: "can edit" and "can comment"
Can edit: Select this level of permission for people or groups who should be able to edit the order and approve it. They can share orders with others and revoke access.
Can comment: Select this level of access for people and groups who should only have the ability to comment on the order page and add annotations, without being able to approve and complete it. They can’t share orders with others or revoke access from other members.
Role-based permissions for teams
Owners and Admins have access to all orders, while Managers only have access to their own orders.
Owners and Admins have the ability to revoke access for other Admins and change their permission levels.
When Managers are invited to orders, they will not see other collaborators on those orders.
Send invitations
To send invitations to orders:
Click on Share in the toolbar.
Enter the collaborator's email address in the Email field. To invite multiple people, separate each email address with a comma.
Click on the icon to adjust their permissions.
Click on Share on the right side of the bottom line to send an email invitation to their address. The collaborators will appear in the list below the email field.
Stay informed
Want to keep your team in the loop about your order? Here’s how our Share Order feature works for you:
You’re Always Updated: As soon as you create an order, you'll get updates about any changes. This way, you’re always in the know.
Team Involvement Made Easy: Your Admin team members won’t get flooded with emails from the start. They’ll start receiving updates only when they join the conversation or add their input on the order. It’s all about keeping things relevant and clutter-free.
Share and Care: When you share an order with a team member, they automatically get the updates too. No extra steps needed!
Control at Your Fingertips: Too many updates? No worries. Anyone can easily opt out of notifications directly on the order page. We believe in keeping you informed, but only with what matters to you.
Stop sharing
If you have full access to a page, you can disable sharing with anyone at any time. There are two methods to do this:
One by one: Click on Share and then select Remove from the dropdown next to each member's name.
All at once: Click on Share, then click on Select on the left side at the bottom. Choose several or all members by clicking on the checkbox next to their names. Finally, click on the menu icon on the right side at the bottom and select Remove from the dropdown.
FAQ
Q1: How does adding new comments or annotations by just invited team members affect the deadline or turnaround time?
A1: When annotations or comments are added by a new person involved in the project, it's important to note that the turnaround time will reset to 24 hours from the point of the latest annotation. This means that each time new input is provided, the timeline is adjusted to ensure quality and attention to the new details.
Q2: Will the revision take place without the owner’s confirmation?
A2: Yes, revisions based on comments from team members other than the order owner will proceed without waiting for the owner's confirmation. However, we ensure that the order owner is informed about the revisions.
Q3: If different people give different instructions for my order, which one will you follow?
A3: When we receive multiple instructions from different people for the same order, we always use the latest instruction given. It's important to keep track of the most recent comments, as that's what we'll follow to ensure your order is completed to your satisfaction. Make sure everyone involved is aligned on the final instructions to avoid any confusion.
Q4: What should we consider when using the annotation feature for conversations and comments?
A4: It's exciting to see users engaging with each other using our new sharing order feature. However, it's important to remember that each annotation or comment in order is considered actionable and triggers a revision or update to your order. To make sure it is efficient and avoid unnecessary delays, we encourage you to keep conversations specific to the order and avoid personal or off-topic discussions in the annotation section. This helps our project management team to focus on relevant inputs and ensures that your order is processed accurately and promptly. If you need to have a general discussion or share personal messages, please use a separate communication channel.
